FAQs
Business Printing & Mailing Services
What does your business printing & mailing services entail?
We help our clients reliably produce and distribute critical documents through our printing and mailing services. Our offering also includes electronic delivery, such as e-bills.
Can you give some examples of these printing services?
Sure! We provide a variety of print and mail services, such as invoice printing, bills, tax statements, credit collection letters, jury summons, class schedules, newsletters, business form printing, and more.
Why should I outsource my business printing & mailing to you?
We take pride in serving our customers and view ourselves as your partner, rather than your vendor. In an industry with 3-5 year contracts as the standard, we have an average customer relationship tenure of 13 years because of our service-oriented culture, our accurate and timely performance, and human-centric approach to service. Further, we have over 70 years of experience in the printing services business and more than 25 years of experience in printing and mailing services. In addition, we have all the requisite security protocols in place to protect your data, as well as the scale and expertise required to manage highly sensitive transactional print and mailing services.
What kind of implementation time is required?
We have a two-phase implementation process designed to both build and quality control the application for your printing and mailing needs. This process typically takes between 30-45 days but could be longer or shorter depending on your needs, such as internal approvals, custom materials, and other features.
My data system has a custom output. Can you work with that?
Yes! We have an in-house Development Team that builds a customized program for each of our clients. We create programming to manage the various aspects of your data file and on an ongoing basis are able to instantly address any problems that arise. Having a comprehensive understanding of your data allows us to make intelligent recommendations and work as a liaison with your software vendor. We have extensive experience with many utility software providers, including Harris/Advanced Utility Systems, Tyler Technologies, Caselle, and Oracle CC&B. We are also able to help with the design of your documents and make recommendations based on industry best practices.
How do I know Information Outsource is the right provider?
We are your partner, not just another provider. There are many outsourcing options available, but our commitment to on-time, accurate mailings and our focus on customer service set us apart from the rest. Our onsite Development team is here to step in and support your unique data elements and your dedicated Client Specialist is here to serve as a sounding board and educated advocate.
What can you offer me that my current vendor cannot?
Onsite Printing Capabilities – Having the ability to produce your pre-printed forms and marketing materials in one location decidedly sets us apart from our competitors. Rarely do you find a print and mail provider that has the ability to variably print your critical documents, as well as produce full-color inserts and press-quality pre-printed shells in-house. This also means that we purchase materials in bulk and pass the cost savings on to you.
Extraordinary Service – Our level of service certainly sets us apart from other providers. Our uncompromised goals of timeliness and accuracy guarantee that your documents are correct and complete each and every time, and that they are mailed within expected timeframes. Our attention to detail is evident during the implementation process and continues into the management of your live business. In addition, there is no monthly or annual fee for support.
Onsite Art Department & Design Capabilities – Our in-house Art Department is at your disposal to create a custom look that meets the needs of your billing department. We use the same export file you send to your current vendor without any changes to your staff’s process. Document design and multiple proofing stages are all included without additional fees during the implementation phase.
Safety and Security
How do I know that my data is secure?
We are pleased to state that Information Outsource and Standard Printing Company are SOC 2 Type II certified, thus upholding the highest standards of network and physical security. We adhere to the industry standard best practices for security, consistent with the aforementioned certification. Our security measures include strict physical security, including 24/7 surveillance inside and outside the building, significant network security, including the use of a secure customer portal or FTP connection to transmit your data, as well as operational redundancy, and a disaster recovery site.
Do you have a Disaster Recovery plan?
Yes! Knowing that your documents are critical, we understand the importance of timely delivery. Our business model is such that we practice redundancy both in our personnel and equipment and have also implemented an off-site disaster recovery facility in the event our primary facility becomes inoperable. We can provide additional details on this plan and the role of our Data Center upon request.
How do I know you are mailing the right documents?
Quality Control is at the core of our Production processes. Trusting a third party to manage your billing is a leap of faith and we involve all of our clients in our Quality Control measures to make sure we are processing and mailing the correct documents. We have automated error checks in place, as well as duplicate file identification and formalized quality control programs at each stage of Production. We also ask for approval prior to mailing. Details on our comprehensive Quality Assurance Plan and Production Workflow are available upon request.

Do you provide outsourced print and mail services to consumers?
Unfortunately, we only serve businesses at this time.
Costing & Rates
What about the cost?
Our clients have discovered that an outsourced solution is less expensive than managing the printing and mailing process in-house. Taking into consideration equipment costs, service contracts, personnel, and materials are only the beginning. The intangible benefits of guaranteed on-time mailings, cost-free warehouse space and an educated team of support professionals backing your business are all value-added items.
How do you obtain the lowest postage rates?
During processing, we pre-sort your mailing addresses to the lowest automated pre-sort postage rates. This is done through CASS (Coding Accuracy & Support Service) verification, the addition of the “+4” to the zip code and by printing an Intelligent Mail Barcode on your outbound mail pieces.
